Our client is an MNC in the oil & energy industry looking for an Executive Assistant to support multiple of their C-Suite in a hub setting.
Role:
- Provide full secretarial and administrative support to a number of Executives
- Prepare, organize and coordinate all presentations / conferences / meetings / events
- Manage Executives’ schedule and ensure that all appointments / meetings are timely and notified
- Support in the preparation of meeting agendas and presentation materials
- Coordinate and oversee all the travel arrangements (flight, hotel, transport, dining), personal claims etc
- Perform minutes taking and ensure accurate and timely distribution of minutes
- Maintain electronic filing and archive system
- Follow up on all matters timely and professionally with regards to the communication and coordination of all meetings with internal and external parties
- Ensure confidentiality of information when handling confidential documents
- Ad hoc tasks
Requirements:
- Diploma / Bachelor's Degree in any field
- 5 years of relevant working experience
- Good interpersonal skills and good command of written and spoken English
- Meticulous, strong sense of responsibility and pro-active
- Able to multi-task, organized and prioritize with a sense of urgency
- Experience in events management would be preferred
- Strong know-how of complex travel arrangements
