We opened our branch office in Singapore on the 1st April 2025. The purpose of establishing this branch is to support the corporate operations of our group companies in Southeast Asia and South Asia as a regional headquarters. The corporate functions of this branch will consist of five departments: Human Resources (HR development), Legal, Business Quality Control (internal control), Finance, and Accounting.
In line with this, we intend to recruit local employee as Senior Executive, HR and Administration. The employee structure for the branch at its establishment is planned to include one Japanese branch general manager dispatched from the head office in Japan, five local employees as department managers, and about three general staff from Japan. As the branch’s operations progress, we expect to increase the number of employees.
In addition, we plan to set up regional headquarters functions for sales, procurement, and technology within this branch
Job Responsibilities:
Human Resource
Assist in recruitment and selection, including job postings, interviews, and new employee onboarding.
Conduct and process confirmation of appointment and exit formalities.
Handle all aspects of personnel administration inclusive of maintaining employee database, payroll processing and leave management
Assist in periodic HR reports, such as manpower report, MOM survey.
Coordinate annual performance appraisal exercise.
Administer and monitor work pass applications/ renewals/ cancellations, including purchasing security bond and managing foreign worker quota
Handle medical insurance and work injury claims.
Handle staff claims, reimbursements, and timesheets.
Provide administrative support for HR process and policies.
Administrative Support:
Coordinating meetings and maintaining records.
Manage office supplies, equipment, and ensure the office environment is organized and efficient.
Support in the preparation of reports and presentations as required.
Ensure compliance with health and safety regulations in the workplace.
Other duties as assigned by Regional Head of HR
Requirements:
At least 1 – 3 years of experience in HR and administrative functions, preferably in an MNC or regional office setup.
Diploma or Degree or any specialized education qualification in Human Resource or Business Administration.
Good understanding of Singapore labour laws, work pass regulations, and MOM requirements.
Proficient in Microsoft Office (Word, Excel, PowerPoint).
Strong organizational and multitasking abilities.
Good communication and interpersonal skills to liaise with internal teams and external vendors.
Proficient in English. Ability to speak Japanese is a plus (to liaise with Japanese counterparts, if applicable).
Independent, detail-oriented, and proactive with a willingness to support a newly set-up team.
