JOB RESPONSIBILITIES
We are seeking a proactive and detail-oriented HR Administrative Assistant to support daily HR and administrative operations. This role is essential in ensuring the smooth execution of HR processes, with a strong emphasis on expatriate administration, asset management, and general office support.
Provide HR and administrative support, including employee onboarding, offboarding, and maintenance of leave and employee records
Handle expatriate administration matters, including lease coordination, rental payment scheduling, and related documentation
Prepare and issue employment-related documents such as contracts, confirmation letters, and visa support letters
Coordinate with external vendors and outsourcing agents on work pass applications and renewals
Manage fixed asset administration, including asset tracking, inventory control, depreciation, and documentation
Process monthly office rental payments and support cost allocation
Assist with overtime calculations to support payroll processing and compliance requirements
Submit government-related claims (e.g. Child Care Leave, Extended Child Care Leave, Maternity and Paternity Leave) and manage Medisave reimbursement claims
Liaise with internal stakeholders and external service providers on HR and administrative matters
Provide general office administration support and handle ad-hoc duties as assigned
JOB REQUIREMENTS
Minimum Diploma in a relevant discipline
At least 3 years of relevant HR or administrative experience
Experience in expatriate administration and employment documentation is an advantage
Basic knowledge of accounting procedures is preferred
Proficient in Microsoft Office applications (Excel, Word, Outlook)
Strong organizational skills with keen attention to detail
Good communication and interpersonal skills
Ability to handle confidential information with discretion and professionalism
A team player who can also work independently in a fast-paced environment
